How to Submit Request for Permits as an EDI User?

The Australian exporters who export products in the categories like dairy, fish and eggs must obtain an export permit. For this, they need to initiate request for permits using the prescribed procedure. In short, the things that you must know about submitting one such request include:

  • To whom: The Department of Agriculture, Water and the Environment
  • How: Electronically, using the Department’s EXDOC system
  • As: An a registered exporter, an electronic data interface (EDI) user or an exporter and EDI user

Let’s elaborate more on what an EDI user can do.

How to Register?

To begin with, you must decide how you wish to register with the Department:

  • First, you may register simply as an exporter. If you do so, you would need to contact a registered EDI user in order to communicate with the EXDOC system.
  • Second, you may choose to register as an EDI user. Obviously, you would need to download or subscribe to a prescribed software to communicate with the EXDOC.
  • Third, you may register both as an exporter and as an EDI user.

Clearly, you would have a better access to the EXDOC system, if you choose between the second and the third options. Considering that you apply and get approved as an EDI user, you are ready to handle the requests for permit.

Automated Export Permit Issuer

Going further, an EDI user may also become an automated export permit issuer (AEPI) who has the additional authority to review as well as approve the permit requests. So, if you are an exporter who is also a registered EDI user, you can apply for AEPI status. However, an AEPI doesn’t have the authority to approve permit requests for certain goods. For example, the Department reserves the right to approve the requests for goods in the prohibited categories.

How to Choose the Right Software?

An important aspect of the role of an EDI user is the selection of the best software to interact with the Exdocs system. Here are some tips to help you in this direction:

  • Decide whether you wish to install the software on just one computer or on a network of computers. Going with the second option is useful if you have more than one export office branch. Also, it grants you the freedom to connect with the EXDOC from several machines.
  • It is better to go with a cloud software rather than a desktop solution. Needless to say, cloud-based software tools reduce costs and allow the EDI user to be flexible in interacting with EXDOC from anywhere, during any hour and from different devices like computers, laptops and smart phones.
  • The Department prescribes a list of software vendors that offer electronic systems not only to submit request for permits, but also to prepare many other important trade documents. Make sure that you refer to the list, compare different solutions and their reviews and take time to choose the right one.
  • While choosing a software, it is important that you test a trial version before buying the full package. It would help you to assess its user-friendliness, easy integration with your existing IT infrastructure and present and future costs.

Know the EXDOC System

Finally, you must understand how the EXDOC system works after receiving approval as an EDI user. The Department takes the right step to guide the approved EDI user through EXDOC knowledge testing. In addition, you can easily contact the EXDOC helpdesk during the prescribed hours.

As an EDI user, you can also use the EXDOC system to obtain documents like health and phytosanitary certificates.
