What Is the Role of Pre-receival Advice in Export Process?

After you obtain all important export documents and your containers are ready to be sent to the cargo terminals, you need to check whether the terminal is ready to receive your containers or not. If you fail to perform this check or don’t do it correctly and on time, you may expect your containers to get delayed for shipping. In other words, all your efforts, time and money put in export preparation may go into vain if you fail to understand the importance of pre-receival advice (PRA). What Is PRA?
Traditionally, the exporters in Australia would dispatch their containers to the terminals without any prior information. It would lead to a lot of chaos in a number of situations. It was then that a paper-based document called export receival advice (ERA) was introduced that directed the exporters and their agents to inform terminal operators about the arrival of containers for shipment. However, the manual documents consumed a lot of time and were prone to human errors that would lead to rejections and delays.

Starting August 2004, the ERA was replaced by its electronic substitute called pre-receival advice. It allowed the exporters to send information electronically about the dispatch of their containers before they arrive at the terminal. In the recent times, the cloud based export software tools have made the task even simpler and faster. The exporters can now send PRA to the stevedores and receive the acknowledgement quickly.

What Purposes Do PRA Serve?
A PRA contains detailed information about the containers which is already inked to the vessels. Once a stevedore receives a PRA, the next step is to match the information with what has been received from the shipping line. The purposes of this process include:
  • Ensuring that the containers are gated in only after authenticating the information about them.
  • Correct loading of the containers on to the vessels to ensure that all there are no discrepancies.  
  • Storing the special commodities like fruits etc. according to the prescribed temperatures so that these don’t get spoiled on the way.
  • Maintaining efficiencies at the cargo terminals to ensure that all exporters make the best out of the service providers.
  • Better planning of cargo loading that addresses the possibilities of delays.
Use the Right Software
In order to deliver PRA efficiently, it is important to choose a good software or application. One good idea is to use a standalone application only for the purpose of communicating PRAs. The second idea is to use a complete export documentation package that helps in preparing other documents like certificates of origin, health and phytosanitary certificates, export permits etc. as well. Whichever option you choose, it is advised to choose a cloud solution for better results.
